Project Support

End-to-end project coordination with reporting, data analysis and operational governance — so improvements land, and stay landed.

Coordination · Reporting · Governance

In a small or medium business, improvement projects rarely fail for technical reasons. They fail quietly, in the gaps: the owner is flat out with customers, the person coordinating the project also has a full-time job, decisions wait days for a meeting that keeps moving, and nobody has time to notice the plan drifting until the deadline is close. Project Support exists to hold that line: coordination, reporting and governance that turn good intentions into finished, working improvements.

End-to-end coordination

We take responsibility for the moving parts of your initiative so your team can keep running the business. That means building and maintaining the project plan, sequencing the work so dependencies are respected, chasing the decisions and inputs that would otherwise sit in someone's inbox, coordinating vendors and internal staff, and keeping a visible record of what was decided, by whom and when. You receive a single accountable point of contact who knows the whole picture — not another meeting to attend.

One plan, one rhythm, one place where every decision is recorded.

Reporting you can govern with

Our reporting is built for decisions, not decoration. Each reporting cycle gives you three things: progress against plan (with variance explained, not excused), the current risk picture with mitigations and owners, and the numbers that tell you whether the project is achieving what it was undertaken to achieve. Reports arrive on a fixed schedule — weekly or fortnightly — in a consistent format your board, bank or funding body can follow without a briefing.

Governance packs: plan versus actual, decisions log, risk register and KPI tracking — one consistent format across the engagement. Coordination is hands-on: one plan, one rhythm, one accountable contact.

Data analysis that answers real questions

Projects generate data; most of it goes unused. We put it to work: measuring the baseline before change, tracking adoption and performance during it, and verifying the outcome after it. When your project touches financial or operational data, we build the analysis into the engagement — cycle times, error rates, cost per job, utilisation — so the completion report contains evidence, not adjectives.

Operational governance that outlasts the project

The final deliverable of every Project Support engagement is a business that can govern itself without us: documented processes, a register of systems and credentials, a reporting rhythm, and clear ownership of each ongoing responsibility. Where the work warrants it, we establish a lightweight governance routine — a monthly operations review with a one-page dashboard — that keeps the improvement from quietly eroding after the project team moves on.

Typical engagements

Working alongside your team, not instead of it

A frequent worry we hear is that bringing in project support means sidelining the people who run the business. The opposite is our design principle. Your staff hold the knowledge and the relationships the project depends on; our role is to remove the coordination burden from their shoulders, not to replace their judgement. Every project we run names a champion on your side, keeps decisions with your designated decision-makers, and records your team's contributions in the documentation — so the capability to run future projects stays inside your business after ours has ended.

We also work at your rhythm, not an imposed one. If your busiest season falls in the middle of the project, we plan around it rather than through it. If a decision needs the owner's attention, we bring it to them once, framed with options and a recommendation — instead of forwarding fifty emails and hoping. Clients regularly tell us the calm was as valuable as the coordination, and we take that as a design compliment rather than an accident.

What we ask of you

Honesty about capacity works in both directions. For a Project Support engagement to run well, we need three things: a decision-maker who can commit the business at the moments the plan requires; protected time from the staff whose work the project touches; and candour when something on your side changes — a priority shift, a budget pressure, a key person leaving. Projects rarely fail because of the plan; they fail because early warnings were swallowed. We build the reporting so warnings surface early, and we ask you to receive them as information rather than accusation. That contract, informal as it sounds, is why our projects land.

Frequently asked questions

Can you take over a project that has already stalled?

Yes — recovery engagements are common. We start by assessing where the project actually stands against its plan, then re-baseline with the team.

How often will we receive reports?

On a fixed weekly or fortnightly rhythm, in a consistent format: progress against plan, current risks, and the decisions we need from you.

Do you replace our internal project manager?

No. We support or augment your people, and we hand the routine back at the end so the capability stays with your business.

What size projects do you coordinate?

Typically engagements of six weeks to twelve months at SME scale, across one or more vendors.
