What to include in your first message
First messages don't need to be formal, but a few details make the first reply far more useful:
- The situation, in your own words. "Quotes are going out too slowly" or "our stock numbers never match" is enough — you do not need to diagnose the cause before contacting us. Diagnosis is our job.
- The shape of your business. Roughly how many staff, which industry, and whether you operate from one site or several.
- The driver. Is this urgent, planned, or exploratory? A deadline changes the shape of the first conversation.
- Anything already tried. If software was bought, consultants engaged or systems changed before, knowing what happened saves us both a round of questions.
What happens after you contact us
- Within one business day you receive a personal reply — not an automated acknowledgement — from the person who will handle your enquiry.
- Within the first week we arrange a short call or meeting (twenty to forty minutes is usually enough) to understand the situation and tell you honestly whether we can help.
- If we proceed, you receive a written proposal for a scoped first engagement — typically a discovery or health check — with a fixed fee and defined deliverables before any work begins.
- If we don't proceed, you still leave the conversation with a clearer picture of the problem and, where we can, a referral to someone better placed to help.

Confidentiality from the first conversation
Enquiries often touch sensitive matters — margins, staff issues, commercial plans. Everything you tell us before, during or after an engagement is treated as confidential by default. We are happy to sign your non-disclosure agreement before the first detailed discussion, and for community and health sector clients we work within your privacy and funding obligations from day one.
Working with us from outside Victoria
Our office is in the Melbourne CBD, but distance has never been the deciding factor in an engagement. Discovery workshops, system work and reporting all run effectively remotely, with on-site time concentrated where it adds most — the early observation of how your work actually flows. Clients in New South Wales, South Australia and Queensland have worked with us for years on this basis.

Phone suits the exploratory conversation — "something feels off, can we talk it through?" — where five minutes of back-and-forth replaces a page of writing. Email suits anything with detail to convey: a process you want to describe carefully, documents you would like us to look at first, or a request that will be read by several people. And an on-site visit is booked whenever seeing the work happen is genuinely the better method — for process reviews it usually is.
Common first questions
A few questions come up in almost every first conversation, so the short answers are here. How much will this cost? We cannot say responsibly before understanding the shape of the work — but we can say how we price (staged, written, no surprises) and what typically drives the figure, which is what the quote request page covers. Do you work with businesses our size? Almost certainly — small and medium businesses are our entire client base, and our pricing assumes their constraints. Will you sign our NDA? Yes, before the first detailed discussion if you prefer. Is the job too small for you? Sometimes the smallest engagements — a one-week review, a single automation — are the best starting points, and we will tell you plainly if that is the case. Do we need to prepare anything? Only honesty about the situation; the diagnostic method does the rest.
A note on who answers
Enquiries to NextGen are handled by the same people who would run the work — there is no separate sales layer, and nobody here is paid to close you. That is deliberate. The first conversation is where we learn enough to advise honestly, and where you can judge the way we think before any engagement is discussed. If the outcome is a proposal, it reflects that conversation; if the outcome is a referral or a "you don't need us yet", it reflects it just as faithfully.
